Reading sales

Every sale is listed newest first, with its receipt number, when and where it was sold, who served and its total. Search by receipt number or by the reference on an offline slip, or narrow by dates, store and status. A sale is marked when it was voided, has a return on it, was taken offline, and whether it is in the books yet.

Open a sale to read its receipt exactly as it printed: each line, discounts, VAT by rate, how it was paid and the change. A payment taken on the test card terminal says plainly that no money moved.

Where the sale had them, the receipt also shows the customer on record, each offer by its name with what it took off, the coupon, the points it earned and used, and the serial number of each unit on a line. A gift card sold is a line of its own, marked Gift card sold and named by the four characters the card ends in. Store credit, a gift card and a payment made online are listed among the payments.

Voiding a sale

Void this sale takes a whole sale back, with a reason: the goods return to stock and the sale is marked voided. It is allowed only while the register session it was made in is still open. Once the session has closed the sale is in the books, and is undone with a return at the till.

Money paid by card is not in the drawer, so it goes back on the card terminal. For a sale with a card payment, reverse the payment on the terminal first, then tick The card payment was reversed on the card terminal, and enter the terminal's reference for the reversal if it gave one. The void is refused without the tick. If the payment cannot be reversed now, take the goods back as a return at the till and record the refund as owed.

Refunds owed

Refunds owed, the second tab of this page, lists the refunds a till could not pay at the counter: the sale they were on, who they are owed to and how to reach them, the amount, when they were recorded and whether they are paid. It opens on Still owed; Paid and All show the others. A refund stays owed until somebody says it was paid.

  1. Pay the customer: refund the amount on the card terminal, or by bank transfer.
  2. Press Paid on the refund's row.
  3. Choose how it was paid, On the card terminal or By bank transfer, and enter the reference. For a bank transfer, choose the bank account it was paid from.
  4. Enter the day it was paid if it was not today, and press Record it as paid.

It is posted to the books as it is recorded, dated the day it was paid, and is not undone here. A refund by bank transfer is the books' own money, so it is offered only to somebody who also holds the Retail posting permission. A refund is not recorded as paid on a day still to come.

Emailing a receipt

Once Email a receipt when the customer asks is switched on under Retail setup › General, an open sale has Email the receipt. Type the address the customer gives and press Send. The email carries the receipt's own figures.

The address is used once, to send that receipt, and is not kept. The page then shows where it went with the name hidden, and the Audit Trail keeps the same. A receipt is sent three times at most; after that, print it at the till.

What reaches the books

Sales reach the books as one entry for each register session and day, when the session closes; see Register sessions. A voided sale is left out of that entry. A refund owed is credited to Refunds owed to customers in that entry.

Saying a refund owed was paid posts at once: debit Refunds owed to customers, credit Card receipts clearing for a refund on the card terminal, since the provider pays your bank that much less, or the bank account for a bank transfer. Its entry is listed under Retail › Books.
