1.Who we are and what these terms cover
Accmerio is operated by IA Systems, based in Dubai, United Arab Emirates (“we”, “us”). Accmerio is the business accounting platform: double-entry bookkeeping, sales and purchases, banking, VAT, payroll, fixed assets and reports, used through the business web app.
These terms cover the business edition only. The household edition of AccountHouse has its own Terms of Service and Privacy Policy, which are separate and do not apply to your company’s workspace. If you also use the household edition with the same sign-in, each set of terms applies to its own product.
You agree to these terms when you accept an invitation to a company, when you sign in to the business app, or when your company’s owner account is created for you. How we handle personal data is described in the Accmerio Privacy Notice, which forms part of these terms.
2.Your company’s account
A company (a workspace) is set up by us, not through a public sign-up form. We create it against a contract with your company, and we set up its owner account. From then on the owner runs it.
The contract for a workspace records:
- The term. Either a trial or a subscription, running for a set number of days, or permanent access with no end date.
- The amount and currency, for a subscription. A trial has no price.
- A grace period, if one is agreed, which applies after the term ends (see “Fees and contract expiry” below).
- Seats. The number of people who may hold a membership, and separately the number of employee records payroll may hold. A person who signs in uses a seat; an employee who is only on the payroll does not.
- Modules. Which parts of the product your company is entitled to, for example payroll or fixed assets. We switch modules on and off; the owner can hide a module the company has but does not use, and cannot switch on one the company is not entitled to.
Branches and group companies. The owner of a company can add branches or group companies under it, up to the number we allow for one owner. Each is a separate company with its own books, its own members and its own settings. A branch cannot itself have branches.
Keep the company details in your workspace accurate — legal name, trade licence number, Tax Registration Number, address and VAT registration — because they appear on the documents you issue.
3.People, roles and your responsibility for them
Everyone who signs in to a company holds a membership with a role. The roles are fixed: Owner, Administrator, Accountant, Approver, Standard, Invoice only, Read only, Auditor and Employee self-service. Each role allows a defined set of actions, and the owner or an administrator can grant or withdraw individual permissions for one person, or give someone time-limited access that ends on a date.
People join by an invitation link sent to their email address. The link works for whoever holds it until it expires or is revoked, so treat it like a password. The person accepting it chooses their own password and must accept these terms. Where the owner instead creates an account on someone’s behalf, that person receives a one-time password that must be changed at first sign-in.
As the owner of a company, you are responsible for:
- Who you give access to, and which role and permissions you give them.
- What the people you give access to do in your company’s workspace, as if you had done it yourself.
- Removing or suspending access promptly when someone leaves or should no longer see the books — including external accountants and auditors when their engagement ends.
- Making sure each person you invite is at least 18 years old and is entitled to see the records their role allows, in particular payroll.
- Choosing appropriate security settings for your company, such as requiring two-factor authentication for certain roles, limiting sign-in to allowed IP addresses, or trusting specific devices.
Every person with access must keep their credentials confidential, must not share passwords, session tokens or sign-in codes, and must tell us straight away if they suspect someone else has used their account.
The owner role cannot have its permissions withdrawn by anyone else in the workspace. If an owner loses access to their own account, contact us.
4.Acceptable use
You may use Accmerio only for lawful bookkeeping, invoicing, payroll and reporting for companies you are entitled to act for. You agree not to misuse the service. Prohibited conduct includes, without limitation:
- Attempting to access another company’s data or another user’s account
- Sharing passwords, session tokens, or two-factor codes, or bypassing authentication, IP allowlists or other access controls
- Credential stuffing, brute-force sign-in attempts, scraping, or automated abuse
- Uploading malware, illegal content, or material you do not have rights to store
- Recording false transactions, issuing invoices for supplies that did not happen, or otherwise using the product to deceive tax authorities, banks, auditors, employees or anyone else
- Entering personal data about customers, suppliers or employees that your company has no lawful reason to hold
- Interfering with the service, other users, or our infrastructure
- Impersonation, harassment, or using the product for unlawful activity
We may investigate suspected abuse using security logs, session metadata, and related signals described in the Privacy Notice. Confirmed or reasonably suspected abuse may result in warnings, feature limits, security locks, suspension, or permanent removal.
5.Your company’s data belongs to your company
The records your company keeps in Accmerio — its ledger, documents, contacts, bank statements, payroll and everything else it enters or uploads — belong to your company. We do not claim ownership of them.
Your company grants us a limited licence to host, copy, process and display that content solely to operate the service for your company: to store it, to show it to the people your company has given access to, to produce the documents, files and reports you ask for, to back it up, to keep it secure, and to give you support when you ask. We do not sell it, we do not use it for advertising, and we do not use it for any other customer.
AccountHouse, its software, branding, and documentation remain our property (or that of our licensors). Your use of the service does not give you any rights in them beyond using the service under these terms.
6.Accounting, tax and payroll remain your company’s responsibility
Accmerio is software that helps your company keep its books and prepare figures. It is not an accountant, a tax agent, a payroll bureau, a bank, a payment processor or a legal adviser, and nothing it shows you is professional accounting, tax, payroll or legal advice.
In particular:
- VAT. The product prepares the figures for a VAT return in the layout of the FTA’s Form 201, from the transactions your company has recorded and the tax codes it chose. We do not file anything with the Federal Tax Authority. Your company files its own return through the FTA’s own channels, and may then record in AccountHouse that it was filed and the acknowledgement number it received.
- WPS salary files. The product generates a Wage Protection System salary file from a pay run. We do not send it to your bank, exchange house or the Ministry of Human Resources and Emiratisation. Your company downloads the file and submits it itself, and remains responsible for paying salaries correctly and on time.
- Gratuity, pension and payroll calculations. End-of-service gratuity, GPSSA pension contributions and pay-run totals are calculated from the employee details, salary components and regimes your company enters. Your company must check that those inputs and results are right for each employee.
- Depreciation and other automatic postings. Depreciation, recurring documents and similar automated entries follow the methods, rates and schedules your company set. They are only as right as those settings.
- Statements and reports. Financial statements, aged balances, cash flow and other reports present what has been recorded. They are not audited and are not a substitute for statements prepared or reviewed by a qualified professional where the law or a bank requires one.
Your company is responsible for its own compliance — with VAT and corporate tax rules, labour and payroll rules, record-keeping obligations, and anything else that applies to it — and for any decision it makes using the product. Where the stakes justify it, have a qualified accountant or tax adviser review the figures before you rely on them.
7.Accuracy of what you enter; locked periods and reversals
The product checks what it can — that every journal balances, that a document has the fields it needs, that a WPS file has the details a bank checks — but it cannot know whether a transaction really happened or whether an amount is right. You are responsible for the accuracy and completeness of everything your company enters, imports or approves.
Accmerio keeps double-entry books with a permanent history, and some things therefore work differently from a spreadsheet:
- Posted entries are not edited or deleted. A mistake in a posted journal is corrected by reversing it — posting a new entry that cancels it, with a reason — and then posting the correct one. Voiding an issued invoice, bill or payment works the same way: the original stays in the books and a reversing entry is posted.
- Closed periods and the lock date. Once a period is closed or the books are locked up to a date, nothing more can be posted into it. A correction to a closed month is posted into an open one.
- Filed VAT returns are snapshots. A return marked as filed keeps the figures that were filed, even if later postings change what the ledger says for that period.
- The audit trail is permanent while the company exists. Actions on the books are recorded in an append-only audit trail that is chained so that tampering can be detected. It cannot be edited by anyone in the workspace, and it is kept when records are reset.
- Resetting records. The owner can reset the company’s business records — for example after entering test data. This permanently removes the company’s transactions, documents, payments, bank statements, VAT returns, pay runs and assets, while keeping its setup, contacts, employees, the audit trail and document number counters. It needs the owner’s password and a code sent by email, and it cannot be undone.
Because of these rules, we will not delete or alter an individual posted record on request while your company’s workspace exists. Removing a company’s data altogether is described under “Suspension, termination and leaving”.
8.Availability, changes and early features
We work to keep Accmerio available and your data safe, but we do not guarantee uninterrupted access. Maintenance, updates, outages at our providers, or security incidents can interrupt the service.
The product changes. Features may be added, changed, limited or withdrawn. Where a feature is described as early access, beta or preview, it may be incomplete, may produce unexpected results, and may change or be removed without prior notice; check its output with particular care.
9.Fees and contract expiry
Fees are those agreed in your company’s contract with us. No payment is taken inside Accmerio and no card details are collected in it. Any amount recorded against your company’s contract is billed separately, by arrangement with us.
A contract moves through these stages:
- Active — the term is running and the workspace works normally.
- Ending soon — the term is close to its end date. Contact us to renew.
- Grace — the term has ended but the contract includes a grace period. During grace, the people in your company can still sign in, read the books and download what they need, and we may pause changes to the books.
- Closed — the grace period has ended, or there was none. We may refuse access to the workspace until the contract is renewed.
Nothing is deleted because a contract lapses. Your company’s records stay intact while access is paused or closed, and renewing restores the workspace as it was. Deleting a company is a separate, deliberate step, described below.
If we change the fees or introduce new paid plans for existing companies, we will tell the owner what is changing before it applies. Nothing new will be charged without your company’s agreement.
10.Suspension, termination and leaving
Accmerio includes security and operational controls that can limit access:
- Account security lock — may be applied automatically or by our operators when sign-in activity looks abusive or compromised. Normal access is blocked until recovery completes through the email recovery path we provide.
- Session revoke — you or we may end active sessions.
- Membership suspension — the owner or an administrator can suspend or remove a member of the company at any time.
- Workspace suspension — we may suspend a company’s workspace for abuse, breach of these terms, non-payment, or where the law requires it.
When we lock, suspend, or withdraw access for security or policy reasons, we will endeavour to notify the affected account by email, except where notice would compromise an investigation or is legally restricted.
Before you leave, keep a copy of what you need. Your company can download its invoices, bills and other documents as PDFs, the attachments stored against payments, and the WPS files it generated, and can view its reports. Your company is responsible for keeping its accounting, tax and payroll records for as long as the law requires, which for UAE businesses can be several years after the period they relate to. If you need a copy of your records in another form, ask us before the workspace is deleted.
Deleting a company. A company’s workspace is deleted only by our operators, at the company’s request or when our relationship with the company has ended. Deletion is confirmed with a verification code sent by email and the company’s exact legal name. It permanently removes that company’s ledger, documents, payments, bank records, VAT returns, payroll, assets, settings, members and audit trail. It does not delete anyone’s AccountHouse sign-in account, any household data, or any other company; a company that still has a branch or group company linked under it cannot be deleted until that link is removed. Deletion cannot be undone.
11.Liability and indemnity
The service is provided as is and as available. To the fullest extent permitted by law, we disclaim warranties of uninterrupted access, fitness for a particular purpose, and non-infringement. We are not liable for lost profits, lost data, or indirect damages arising from use of the service, except where liability cannot be excluded by law.
Dashboards, reports, VAT figures, payroll calculations, alerts, and exports are informational. They may contain errors or delays. AccountHouse does not provide financial, tax, or legal advice. Your company is solely responsible for decisions made using the service, including penalties, interest or claims that follow from figures it filed, paid or relied on without checking them.
Your company is responsible for, and will cover us against, claims by third parties — including its customers, suppliers, employees and authorities — that arise from data it entered without the right to, from the actions of the people it gave access to, or from its use of the service in breach of these terms or the law.
12.Changes to these terms
We may update these terms as the product evolves. Each version carries a version date and an effective date, shown at the top of this page, and the version a person accepted is recorded when they join a company.
When we change these terms in a way that matters, we will publish the new version here with a new date and may ask people to accept it before they continue using the business app. If you do not agree to a new version, stop using the service and contact us; the owner can ask us to help the company leave as described above.
13.Governing law
If your company has a separate written agreement with IA Systems that names a governing law and a forum for disputes, that agreement decides both, and it prevails over these terms where the two differ.
Nothing in these terms limits any right your company or any person has under a law that cannot be excluded or limited by agreement. If a part of these terms is found to be unenforceable, the rest continues to apply.
14.Contact
Questions about these terms, your company’s contract, locks or access: use Guides & support › Contact support inside the business app, or email support@theaccounthouse.com. We usually respond within one business day; working hours are Sunday to Thursday, 09:00 to 18:00 GST. If you cannot sign in because your access is blocked, you can also send a request to our administrators from the sign-in screen.
Security incidents — for example, a suspicion that someone has used an account without permission — should be reported through the same channel as soon as practicable.
