Switching tracking on
Tracking is chosen product by product, under Retail › Products. Tracked by batch and expiry is for goods that go off. Each unit has a serial number is for goods sold one at a time, such as a phone or an appliance under warranty. See Products.
Batches and expiry
A product tracked by batch is received with its batch number, its expiry date, or both. When it is sold, written off or moved, the records take from the batch that expires soonest first, among those still in date, which is what a shelf is filled to make happen. A batch past its date is taken after those, and stock that was on record before tracking began, which has no batch, is used last.
Batches with stock lists each batch still on hand, soonest date first, with its date, the days left, where it is and how much. Narrow it by store and by state: Expired, Expiring soon, In date or No date. Expiring soon is within the days of warning set under Retail setup › General.
- Find the batch and press Write off on its row.
- Adjust stock opens filled in as a write-off of that batch, with the reason Expired. Change how many if only some of it is going.
- Press Record the write-off.
Serial numbers
A product whose units have serial numbers is received with one number for each unit, and the number is named again when the unit is sold, moved, written off or sent back. A number that was never received, or was already sold, is refused.
Under Find a serial number, type the whole number and press Find. The answer says which product it is and whether the unit is in stock and where, sold and on which receipt, written off, or sent back to the supplier. The receipt number is shown to somebody who may see sales.
What reaches the books
Nothing from this page by itself. Writing a batch off posts as any write-off does: debit Stock losses and write-offs, credit Retail inventory. Batches and serial numbers say which units moved. They do not change what stock is worth: a product keeps one average cost.
