What a count is
A count is three steps by two kinds of people. Somebody who counts walks the shelf and enters what is there. The count is handed in. Somebody who corrects quantities looks at each difference and approves. A count changes nothing until that last step.
Starting a count
- Press Start a count.
- Choose the store and the place in it.
- Under What to count, leave Everything or choose a category. Everything is every product on sale, and anything else the records say is at that place.
- Press Start the count. The sheet opens.
A sheet holds up to 5,000 products. Count a large shop a category at a time.
Counting
- Find a product by typing its name or SKU, or scan its barcode and press Enter.
- Enter what is on the shelf beside it.
- Press Save what was counted as you go. Several lines are saved together.
- When the shelf is done, press Hand in.
A product left empty is not counted, and is left alone when the count is approved: it is never treated as zero. Emptying a box you had filled takes that product out of the count again. Something on the shelf that is not on the sheet is added under Something on the shelf that is not on the sheet, and is counted all the same.
Reviewing and approving
A count that has been handed in shows Waiting for review, and its figures are not changed. The reviewer opens it on Differences: each product that differs, what was on record when it was counted, what was counted, the difference, and its value for somebody who may see costs.
Send back to be counted again returns it to the counter. Approve turns every difference into one stock correction with the count's number on it. Cancel the count drops it, and no stock changes.
What reaches the books
Nothing until the count is approved. Approval posts one stock correction: a product found to have more debits Retail inventory and credits Stock count adjustments, and one found to have less does the opposite. A count that found no difference posts nothing.
