Retail roles

Retail's roles are given on this page. Press Give access and choose somebody who already has a seat in the company, then their Retail role; press Role on a person to change or take it away. Only Retail's roles are offered, and nothing outside Retail comes with one: a Retail Administrator needs no part of Accounting or of the company's settings to do this. Only what you hold yourself can be given, the person's other roles in the company stay as they are, anybody but the Owner may be asked for a second factor first, and each change is kept in the company's audit trail. Somebody new is first given a seat by a company administrator, under Settings › Users & access.

Each person's row says the role that gives them Retail (their own Retail role, or their company role), what it opens: a Sales till, a Registration terminal or both, whether they approve at a till or approve refunds only, and the parts of the Retail dashboard they see.

RoleWhat it is for
Retail AdministratorRuns Retail and decides who else may. Everything except choosing the accounts and posting to the books.
Store ManagerRuns the shops day to day: prices, stock, tills, devices and cash.
Inventory ManagerKeeps products and stock right, costs included: orders, receives, moves, counts and writes off. Sets no selling prices and uses no till.
Product RegistrarWorks at the Registration terminal: registers what arrives and receives it. Counts stock for a stock count.
Stock ReceiverReceives deliveries at the Registration terminal, and nothing else: registers no products, counts nothing and sees no costs.
Warehouse WorkerReceives, moves and counts stock, in a store or a warehouse. Writes nothing off and sees no costs.
Sales SupervisorThe person a cashier calls: approves what a cashier may not do alone, and looks after the cash in every drawer.
Refund SupervisorApproves refunds and returns at the till with their PIN: a refund outside the policy, a refund owed, goods back with no receipt. Not asked about discounts, prices, voids or cash. Sees the sales and the refunds owed.
Senior CashierSells, takes goods back, voids with approval, and sees sales and sessions.
CashierSells, takes goods back within the policy, and counts their own drawer.

Who works where

With one store, everybody with a Retail role works in it. With several, press Stores on a person's row and tick where they work: they can then use the tills of those stores only, and approve only there. In the dashboard they see the sales, register sessions, goods received and sales figures of those stores only. Somebody who manages stores works in all of them.

Your approval PIN

Somebody who approves at the till, a Refund Supervisor included, sets their own PIN under Your approval PIN: four to eight digits, not one digit repeated and not a run like 1234. Five wrong tries lock it for 15 minutes; setting a new one clears the lock. It approves one thing each time it is entered and never signs anybody in.
