General
| Setting | What it does |
|---|---|
| Time zone | Decides which day a sale belongs to. |
| Prices include VAT | Whether the price on the shelf is the price paid, with VAT inside it, or VAT is added on top. |
| Usual VAT code | Used for a product with no code of its own and none on its category. |
| Discount limit | The most a cashier gives without a manager. |
| Return days | How long after a sale goods are taken back without a manager. |
| Refund limit | A refund over this asks for a manager. Empty means no limit. |
| Goods back with no receipt | Whether the tills take back goods a customer brings with no receipt: not at all, for store credit with a manager (on an edition with customers), or with a manager. Such goods are valued at what they sell for today, and a product with serial numbers still comes back only against its receipt. |
| An order over this needs a manager | On an edition with approval limits. A purchase order that comes to more waits for somebody who approves exceptions before it is sent. Sent by somebody who approves exceptions, it needs no second person. Empty means no limit. |
| A write-off over this needs a manager | On an edition with approval limits. A write-off worth more, at what the stock cost, is recorded by somebody who approves exceptions. Empty means no limit. |
| A cash difference over this waits for a manager | A difference, short or over, that a cashier closes a drawer with waits for somebody who manages cash to accept it under Register sessions. It starts at 0, so every such difference waits; empty means none waits. Changing it is part of the editions with approval limits, where it is shown with the other two. |
| Days of warning before a batch expires | On an edition with batch and expiry tracking. A batch is listed as expiring soon from this many days before its date. |
| Cash rounding | Rounds what is paid in cash to the coins you use. A card is always paid to the fils. |
| How cards are taken | On your own card machine: the cashier keys the amount there and confirms the result on the till. A store can be given a way of its own, under Stores and tills. |
| Receipt header and footer | A few lines printed at the top and bottom of every receipt. |
| Print the company's logo on receipts | Puts your company's logo on receipts. It is the logo of your letterhead, under Workspace › Document Templates, as a PNG or JPEG picture; the setting says so when there is none a receipt can carry. It prints through the browser's print dialog and the Windows till app. A receipt sent straight to a serial receipt printer is text and carries no logo. |
| Email a receipt when the customer asks | Lets a till, and Retail › Sales, send a receipt to an address the customer gives. The address is used once and is not kept. Switch it on only after the privacy notice that mentions it has been released. |
| Scale labels | How your scales print a barcode, so the till can read the weight or the price from it. A Registration terminal prints a label for goods weighed in the shop in the same layout. |
Edition
Each edition is a card with what it is for and how many stores it runs. Press Choose on another one to move to it, up to what your plan allows. Moving down is refused while you run more stores than that edition allows; nothing is deleted either way.
Accounts
Each kind of entry Retail posts lands on an account chosen here: sales, sales returns, inventory, cost of goods sold, goods received not invoiced, stock losses, count adjustments, Retail cash, card receipts clearing, cash over and short, till paid-outs and the account opening stock is set against.
Five more are made the first time they are needed, and are marked Not required: store credit owed to customers, gift cards not yet spent, online payments clearing, card provider fees and refunds owed to customers.
Each is held to the kind of account it needs. Sales and sales returns must be income accounts, because the VAT Return reads them. Retail cash is a cash account, added under Banking › Bank Accounts. A control account cannot be chosen.
What reaches the books
Nothing by itself. A change on Accounts decides where entries posted from then on land; entries already posted are not moved.
