What it does
When a customer pays by card through N-Genius, Network International tells Accmerio straight away. If the payment's order reference is one of your invoice numbers, it is recorded as a receipt against that invoice, and the invoice shows as paid. Anything else waits under Payments for you to decide. Nothing is ever recorded on a guess.
The money goes into Network International Clearing first. A clearing account holds money that is yours but is not in your bank yet: Network pays you out later, in batches, less its fees. When it does, you record the settlement, and the clearing account empties into the bank.
| What happens | What Accmerio does | What it posts |
|---|---|---|
| A customer pays an invoice by card | Records a receipt against the invoice | Debit Network International Clearing, credit Accounts Receivable |
| A card payment names no invoice | Keeps it under Payments › Needs you | Nothing until you choose |
| Network pays you out | Nothing until you press Record a settlement | Debit the bank and the fees, credit the clearing account |
| A refund or reversal is reported | Flags the payment | Nothing; you record it |
| A payment fails | Takes it off the list | Nothing |
Before you start
- An N-Genius Online merchant account with Network International. For testing, a Network International test account (the N-Genius Sandbox).
- A Service Account API Key. In the N-Genius portal: Settings › Integration › Service Accounts › New. Accmerio never asks for your N-Genius username or password.
- Your Outlet Reference. In the N-Genius portal: Settings › Organizational Hierarchy, then select the outlet.
Connect it
- Under Credentials, choose the Environment: Sandbox (testing) or Production (live).
- Paste the Outlet Reference and the Service Account API Key.
- Press Save & test connection.
- Connection shows Connected with the checks that passed, or Connection failed with what to check.
Once saved, the key shows as Configured with its last four characters. It is stored encrypted and never shown again. Use Replace key to change it, or Remove key to delete it.
Set up the webhook
The webhook is how N-Genius tells Accmerio about a payment. Its secret proves the message really came from Network International.
- Under Webhook, press Show secret once and copy it straight away. Copy the Webhook URL and the Header key too.
- In the N-Genius portal, go to Settings › Integrations › Webhooks and press New.
- Enter the name Accmerio, paste the Webhook URL, enter the Header key as the Header Key, and paste the secret as the Header Value. Save.
- Email Network International to approve the webhook address: ecom-integration@network.global for Sandbox, ecomsupport@network.global for Production. Nothing arrives until they confirm.
- When they confirm, press Mark as approved. The first payment that arrives changes the status to Active by itself.
Setup instructions shows these steps with your own address filled in.
Where the money goes
Adding the plugin sets these up for you. Change them only if your accountant asks.
| Setting | What it is for | Set up as |
|---|---|---|
| Clearing account | Card payments not yet paid out by Network | Network International Clearing |
| Payment method | How the receipts are labelled | Card |
| Merchant fees | What Network keeps from each payout | Merchant Card Fees |
| Refunds and chargebacks | Money Network takes back from a payout | Sales Returns and Allowances |
| Settlements are paid into | The bank account Network pays | Chosen by you |
| Record matched payments automatically | Record a payment as soon as its reference names an invoice | On |
- A customer pays invoice INV-00042 for AED 1,000 by card. Posts: debit Network International Clearing 1,000; credit Accounts Receivable 1,000. The invoice is paid.
- A week later Network pays AED 973.75 into your bank: AED 1,000, less AED 25 fees and AED 1.25 VAT on the fees.
- Record a settlement with those figures.
Posts: debit the bank 973.75, debit Merchant Card Fees 25 and debit Input VAT 1.25; credit Network International Clearing 1,000. The clearing account is back to zero.
Payments that need you
Payments › Needs you lists card payments that were not recorded automatically, with the reason and, where one fits, suggested invoices and how sure the match is. Open one and choose:
| Choose | When | What it posts |
|---|---|---|
| Match to invoices | It pays one or more of a customer's invoices. Anything left over is kept as an advance. | Debit clearing, credit Accounts Receivable, against the invoices |
| Customer advance | A known customer paid ahead of an invoice | Debit clearing, credit Accounts Receivable, held for the customer |
| Other income | It is not for an invoice at all | Debit clearing, credit the income account you choose |
| Ignore | Nothing is owed to the books, for example your own test charge. A reason is required | Nothing |
Reopen puts an ignored payment back on the list. A payment recorded by mistake is undone by voiding its receipt on Receipts & Payments; it then comes back here. Correcting the receipt with Edit instead keeps the match: the card payment moves to the corrected receipt and does not come back.
Record a settlement
- Under Settlements, press Record a settlement.
- From Network's statement, enter Paid on, the Statement reference, and choose which account it was Paid into.
- Enter Gross card payments, Merchant fees, VAT on fees, and any Refunds, Chargebacks and Other deductions, then Net paid into the bank.
- The figures must add up: gross less everything deducted equals the net. The page says by how much they are out.
- Tick the Payments this covers and check the entry shown, then press Record settlement.
Recorded the wrong statement? Press Void on the settlement and give a reason. The entry is reversed and the payments are free to be settled again.
A payment that never arrived
N-Genius sends each webhook once and never retries. Accmerio makes up for a missed one in three ways.
- Payments still in progress are checked with Network International every 15 minutes, and recent ones once a day, so a capture or refund whose message was missed is still noticed. Check for updates runs the check now.
- A payment Accmerio never heard of can be recovered with Look up an order: paste the order reference from the N-Genius portal.
- The key is tested once a day, so a key that stops working is reported before it costs you a payment.
Bring in payments from before you connected
Webhooks only bring in card payments made after the plugin is connected. To bring in earlier ones, press Import historical transactions under Historical transactions. Nothing an import brings in is recorded in your books until you confirm it.
- Choose the period with From and To.
- Choose where the payments come from. Upload N-Genius report reads a report downloaded from the N-Genius portal: open Orders, filter to the period and press Download (up to 10,000 orders), or use the Reports section for more. Retrieve from N-Genius reads orders one at a time by their order references, because N-Genius has no way to list past orders by date.
- For a report, press Check the file. Check which column was read for what, choose what any status such as Successful means, and look at the sample rows. Press Check again after changing anything.
- Leave Record exact matches straight away off to review everything first. Turned on, only payments whose order reference names an unpaid invoice exactly are recorded, and never one that looks like a receipt already in your books.
- Press Start import. The import carries on if you leave the page.
| The import shows | What it means | What to do |
|---|---|---|
| Matched automatically | The order reference names an unpaid invoice exactly | Tick them and press Confirm selected, or open one and press Confirm & add payment |
| Possible matches | An invoice fits, but not for certain: the same amount, the customer's email, or a receipt already in your books that may be this payment | Open each one: Match to invoices, or Link to existing entry if you recorded it by hand |
| Unmatched | Nothing to go on | Open each one and choose, as for any payment that needs you |
| Already recorded | Accmerio already has this payment, from a webhook, an earlier import, or a receipt it was linked to | Nothing. It is never recorded twice |
Turning it off, and removing it
Turn off stops webhooks from being accepted and nothing is recorded, but keeps the key, so Turn on starts it again straight away.
Remove plugin deletes the stored key and makes the webhook secret useless. Everything already recorded stays in your books. Adding the plugin again starts from entering the credentials.
