Adding a client company

  1. Open Agency › Clients (or the dashboard) and press Add client company.
  2. Enter the Legal name as it appears on the trade licence, and the Trading name, Emirate and Trade licence number if you have them.
  3. Choose the entity type — Mainland company, Free zone company or Sole establishment — the Functional currency and the month the Financial year starts. These three cannot be changed once anything has been posted.
  4. If the company is registered for VAT, tick it and enter the TRN and whether it files Monthly or Quarterly.
  5. Tick what the agency does for it — Bookkeeping, VAT returns, Corporate tax, Payroll, Audit support, Budgets and advisory — choose the Lead, and add a note if you like.
  6. Press Set up company. You are asked for a code from your authenticator if you have not entered one recently, because you become the new company's owner. The agency's Owner is never asked.

The company is set up with its chart of accounts, financial year, VAT codes, payment methods and document numbering — everything needed to post its first entry — on your agency's plan. It appears in the company switcher straight away.

A company already on Accmerio

A company that already uses Accmerio joins your agency in one of two ways. Either way the other side has to accept, accepting uses one of your places, and it gives nobody access to the company's books — the company still gives your people a seat under its own Users and Access.

HowWhat happens
They enter your join codeGive them the code from Agency › Agency setup. Their Owner or an Administrator enters it under Settings › Accounting agency. It waits under Requests on Clients until you press Accept or Decline.
You ask them by emailPress Ask a company to join under Requests and enter the owner's email. If they use Accmerio they are told by email; either way they find the request under Settings › Accounting agency in their company and press Accept for this company. Withdraw takes it back.

Requests stay open for 30 days. A company can work with one agency at a time.

Your people in a client's books

Press Team beside a client to give your people access to its books. Each company decides the most you may give — Accountant to start with, which keeps and closes the books but never sees payroll or manages access — and only the roles within it are offered.

  1. Press Team beside the client.
  2. Choose a role for the person and press Give access. You are asked for a code from your authenticator, unless you are the Owner.
  3. Change gives them another role within the limit; Take back suspends their access.

They sign in as themselves and switch to the client in the company switcher. Their seat does not use one of the company's seats, it cannot be given a company password, and it ends the moment they leave the agency. Somebody who already has access of their own to the company is shown, and is the company's to change.

Handing a company over

A company you set up is yours until you hand it over. Press Hand over beside it: the company opens on its Users and Access with Transfer ownership ready. Give the client's owner access there first, then hand the company over. You keep an Accountant seat unless you choose otherwise.

Ending an engagement

Press End beside a client. You see whose access to the company's books will be suspended, give a reason if you like, and confirm it is you (the Owner is not asked). The company and its books stay with the company, and the agency gets its place back. Ended clients are listed under Past clients.

How many clients

An agency can keep books for 5 client companies unless its plan says otherwise. When every place is used, Add client company is greyed out and the page says so. AccountHouse sets the number with your agency's plan; it is shown under Agency › Agency setup.

Your name on their reports

When you, or anybody from your agency, download a report from a client's books — a statement, the cash forecast, the VAT return, the corporate tax pack, a project report pack or the audit trail — the file says Prepared by your agency: a line with your agency's logo under the client's letterhead, and your agency in the page footer. The Excel copy carries the same line.

The logo, address and contact are your agency's own, from its own letterhead (Settings › Letterheads in the agency's company). The client's own people downloading the same report get the client's letterhead alone.

Opening a client

Press Open beside a client. The company switches to the client and its Accounting home opens. To come back, choose your agency in the company switcher.

Your access says what you can do in each client. None means you cannot open it: being on the agency's list is not access to a client's books, and the Lead is a note for the dashboard that gives no access. Somebody with access to that company gives you a seat there under Workspace › Users and Access.

Changing what you do for a client

Press the pencil beside a client to change its services, its lead and the note. The company's own details — name, TRN, VAT period — are changed from inside the company, under Settings.
