Workspace

Company Settings

The company's details, VAT registration, what cannot change, payment methods and where their money lands, where transport money lands, the sidebar, and resetting records.

Updated

Company

  1. Open Workspace › Settings. It opens on the Company tab.
  2. Check the Trading name — what the company is called day to day — and the Emirate.
  3. Enter the Trade licence number and the Tax registration number — 15 digits, as the FTA issued it; spaces and dashes are fine. A number saved before Accmerio checked TRNs shows a warning here until it is corrected, and never stops the settings being saved.
  4. If the company is registered for VAT, switch on Registered for VAT and choose Monthly or Quarterly.
  5. Save.

Set once, at creation

The Set at creation tab shows three things that cannot be changed, because changing them would restate history:

SettingWhy it is fixed
Entity typeThe chart of accounts was built for it
Functional currencyEvery posted amount is stored in it
Financial year startEvery period and comparison is worked out from it

Payment methods

On the Payment methods tab, manage the choices offered when money is recorded (bank transfer, cheque, card…). Disabling one keeps its name on past transactions. New ones can also be added from the Method field of a payment.

Each method can have a Deposits to account: the bank, cash, card or gateway clearing account its money normally lands in. Choosing that method on a receipt fills in Deposit to with it, and you can still change it there.

Each method can also have a short Code — CC for a credit card, CA for cash, BT for a bank transfer. It is used by nothing at all unless a document number format asks for it with {METHOD}, under Workspace › Document Templates › Document numbers. Two methods cannot share a code.

  1. Open Workspace › Settings and choose the Payment methods tab.
  2. Beside a method, choose the account in Deposits to. It saves straight away. Press the ✕ in the field to remove the account.
  3. To use the method in a document number, type its short form in Code. It saves when you leave the field. Clear the field to remove it.
  4. To add a method, type its name in Add payment method, fill in Code if you use one, choose Deposits to (optional) if you know it, and press Add.

Transportation

Once Transportation is added, the Transportation tab is the accountant's own place for where transport money lands; nobody needs to go to Transport setup. It is offered to whoever may Choose the accounts transportation posts to (the built-in Accountant can), and to nobody else.

  • At the top it says whether Transportation can record in your books, and lists anything to put right, each with Put it right below.
  • The accounts transport posts to — the same rows as Transport setup › Accounts: Where new services earn, Driver advances, Recoverable from drivers, Cash collected by drivers, Traffic fines, Traffic fines to pay (fines charged to a driver before the company has paid them; liability accounts only) and Vehicle maintenance. Under Where new services earn, Use it for every service too moves the services that earn into an account of their own onto it as well, after saying how many and which, with Move them; a service that sells as an item keeps its item.
  • Default VAT — what every new service and cost category starts with, with Put … on them for the services that have no VAT of their own.
  • VAT on deposits — the same choice as Transport setup › Emails: On the final invoice or When the deposit is received. With When the deposit is received, a tax invoice for each deposit is issued when it is recorded — an ordinary sales invoice under Invoices, in the VAT return of the month the money arrived — and the final invoice takes it off at the same VAT; no other account is used. It names whose authority issues those tax invoices when the person recording a deposit may not approve sales invoices: saving the choice as somebody who may (Issue them on my authority) makes it theirs, checked again each time; with nobody's, they wait as drafts. Changing it asks for a code from your authenticator unless you gave one in the last fifteen minutes or are the Owner.
  • What you sell — where each service earns (an income account, or the catalogue item it sells as, which then decides its account and VAT) and its VAT.
  • What transport spends — each cost category's account and VAT on its receipts.
  • What drivers are charged for — the account each kind of charge pays back into. A fine with no account of its own pays back into Traffic fines'.

Each row says Set, Needs an account (Nowhere to earn for a service), Archived — choose another, Wrong kind of account or Not chosen (nothing in use posts there). Account choices are marked Review.

Choosing an account, or the item a service sells as, asks for a code from your authenticator unless you gave one in the last fifteen minutes or are the Owner. Choosing a VAT does not.

These are the same settings Transport setup shows: a change in one shows in the other, and every change is in the audit trail with what it was before. Names, units, prices, who normally pays a cost and a charge's name stay with Transport setup (Also in Transportation › Transport setup › Accounts).

Sidebar

On the Sidebar tab, Company menu is the menu for everybody in the company: hide sections the company does not use and move the ones it uses daily to the top with the up and down arrows. Changing it needs Manage settings. Hiding a section does not remove it or its data: a link to one of its pages still works. Guides & Support cannot be hidden.

Your menu, below it, is yours alone: for each area, what you hid (with Show), what you starred (with Remove), whether you put pages or sections in your own order (with Shipped order), and Back to the shipped menu to undo all of it for that area. Starring, hiding and reordering themselves are done from the sidebar; see Your own menu in Finding your way around.

Reset business records

The Reset tab is shown to the company's Owner only.
