What a customer on record is

Nobody has to be a customer to buy. A walk-in sale names nobody, and nothing is asked for at a till. A customer on record is somebody the shop chose to keep: they earn points where you give them, can hold store credit, and their sales are listed under their name. At a Sales till a cashier puts a customer on a sale with Find a customer, by their number, their phone or their name, and can add one there.

Customers has up to three views: Customers, Loyalty and Gift cards. A view is there only where your edition includes it.

Adding and changing a customer

  1. Open Retail › Customers and press Add a customer.
  2. Enter the name. Everything else is optional: a Customer number of your own, such as the number on a card you already gave them, a phone, an email, a tax registration number, an address and notes.
  3. Tick The customer agreed to be told about offers only if they did. It is a record of what they said: Accmerio sends a customer nothing by itself.
  4. For a member of staff, tick Staff buying for themselves and choose Which member of staff they are. See Staff as customers below.
  5. Press Add the customer. Left empty, the customer number is given for you.

A phone number is kept as its digits, 6 to 20 of them, and belongs to one customer: a second customer with the same number is refused, and the refusal names the first. Search the list by part of the name, the whole customer number, or the last four digits or more of the phone.

Open a customer and press Edit to change them. The customer number does not change. Switching On record off takes them out of the list and off the tills, and no sale or order can name them. What they bought and their balances are kept. Tick Include those no longer on record to find them again.

Staff as customers

A member of staff who shops in the store can be a customer on record like anybody else. Tick Staff buying for themselves on their customer, and an offer for Staff buying for themselves is theirs on a sale that names them; see An offer for customers in the Promotions chapter. Only the office marks a customer as staff: a till does not. The list marks them Staff.

Which member of staff they are names their own sign-in, from the people who work in Retail. A till then does not let them ring up a sale for themselves on that customer: somebody else serves them. The people are listed for somebody who may see who works in Retail; anybody else can still tick the box, and a choice already made is left as it is.

Reading a customer

An open customer shows their points, their store credit, what they have spent in all and their tier. Below are three lists. Sales is their last 50, each opening its receipt for somebody who may see sales. Points and Store credit are the last 50 lines of each, newest first, with what changed, the balance it left and the sale or the reason.

Correcting points and store credit

  1. Open the customer and press Correct points or Correct store credit.
  2. Enter what to add, or a figure starting with a minus to take away: 50 adds fifty, -50 takes fifty off. Points are whole numbers; store credit is an amount.
  3. Enter why, and press Correct the points or Correct the credit and post it.

A correction that would take a balance below zero is refused. Each one is written to the Audit Trail with the reason and who made it.

Loyalty: how points work

Loyalty holds four settings. Changing them needs the permission to configure Retail; anybody else is shown them as they are set.

SettingWhat it does
Customers earn pointsSwitches points on. Off, no sale earns points and none can be used; points customers already have are kept.
Points for each AED 1 spentHow many points a sale earns for each unit of your company's currency it comes to, from 0 to 1,000. The label names your own currency. A sale earns whole points only.
What one point is worthThe money one point takes off a sale when it is used. At 0, points are earned and cannot be used.
Fewest points used at onceA customer uses at least this many, or none.
  • Points are earned on goods, VAT included, and not on a gift card bought for later.
  • Points used are a discount: the sale is smaller, and so is its VAT. They never count towards the discount a cashier is limited to, and never take off more than the sale owes.
  • Goods brought back take back the points they earned, as far as the customer still has them. A voided sale gives back the points it used and takes back the points it earned.
  • Points and store credit are kept by Accmerio, so a till that is offline does not take them.

On the Enterprise edition, Tiers lists the loyalty tiers. Add a tier takes a name, what a customer has to have spent in all to reach it, and how many times over they then earn points. A customer sits on the highest tier they have reached. Accmerio works that out each time one of their sales is recorded, and for every customer at once when a tier is saved; nobody is moved by hand. A new customer starts on a tier that is reached at nothing, where there is one. Change edits a tier. A tier is not deleted. A tier can also be who an offer is for: see An offer for customers in the Promotions chapter.

Gift cards

On the Enterprise edition, Gift cards lists every card a till has sold, newest first: the four characters its code ends in, when it was sold and on which receipt, the customer if one was named, what it was sold for, what it has left and whether it can be spent. The figure above the list is what every card that can be spent still holds. Tick Only cards with money left that can be spent to narrow it.

A card is sold at a Sales till, with Sell a gift card, and taken there as payment until it is spent.

  1. Open the card. It lists every time it was sold, spent or put back.
  2. Press Block this card, enter why, and press Block the card.

The tills refuse a blocked card. What it holds stays on it, and Let it be spent again, with a reason, lets it through. A card is not topped up, and money is not refunded onto one: a refund goes back the way it was paid, or to store credit.
