Document History

Find any quotation, proforma invoice, purchase order or statement, see what happened to it, and act on it from the list.

Where it lives

History is a tab of Workspace › Document Templates. The older address, `/documents/history`, still works and brings you here.

Find a document

  1. Open Workspace › Document Templates, then the History tab.
  2. Choose Everything, Quotations, Proforma invoices, Purchase orders or Statements.
  3. Narrow it with Search (a number, subject or name), Status, Customer or supplier, Made by, Dated from and to, and Total from and to. Clear filters starts again.

Under Status, Awaiting a response lists what was issued or sent and has had no reply yet, and Expired lists quotations past their validity date. Each row shows the number, who it is with, the subject (or a statement's period), the date, the status, the total and who made it. A converted document also names its invoice or bill.

From the list

Click a row to open the document. The ⋯ at the end of each row offers:

  • Edit draft (or View) — opens it.
  • Duplicate — a new draft with the same content.
  • Revise — a new revision of an issued quotation or purchase order.
  • Download PDF and Print — the document as it prints.
  • Email — opens the document ready to send.
  • Activity — opens its history.

What happened to it

In a document, History and versions in the ⋯ menu has three tabs:

  • Activity — who made, changed, issued, sent, converted or cancelled it, and when.
  • Versions — the copies kept before each AI Builder change, before a restore, and when it was issued. Restore takes a draft back to one of them.
  • Emails — each email sent, to whom, and whether it went or failed.
