What an app is
Some companies use apps AccountHouse built for them, such as a stock-count app for the shop floor or a field-service tool. AccountHouse sets those up for your company. Other apps are offered to every company, and your company's Owner adds them (see Add an app offered to every company below). Apps appears in the sidebar once your company has at least one, and before that for the people who manage apps whenever there is one they could add.
Each app uses your normal Accmerio sign-in: the username or email and password you use for Accmerio, including a username and password your company set up for you. It opens only for the companies AccountHouse set it up for, and only for the people allowed to use it. What one company chooses for an app never changes it for another.
Open an app
- Open Apps in the sidebar.
- Press Open on a web app. For a mobile app, scan its QR code with your phone (see Install an app on a phone below), or use its iPhone link if it has one.
- Sign in with the username or email and password you use for Accmerio — the ones your company gave you, if it set them up — and choose this company if you belong to more than one.
Each card shows the app, what it is for and anything that needs attention. Details opens the app's own page, and the three-dot button beside it has Configure, Manage access and Documentation.
Add an app offered to every company
Some apps are offered to every company. They are listed under More apps for your company on Apps, or under Apps you can add while your company has no app yet. The Owner, Administrators and anyone given Configure company apps see the list; only the company's Owner can add from it. Anybody else sees Only the company's Owner can add an app. Ask your Owner.
- Open Apps in the sidebar.
- Press About this app on an app's card to read what it does and what it needs.
- Press Add to company. Read what adding it means, then press Add to company again.
- The app's own page opens. For an app set to assigned people only, it opens on Access: give the app to each person who needs it with Give access.
- Adding an app does not give everybody access to it. An app set to assigned people only opens for you, the Owner, and for each person you give it to under Access. An app set for everyone opens for everybody whose company role includes apps; you can keep one person out with Remove access.
- Its settings start at the app's own defaults. Change them under Configuration before you give the app to your team.
- An app that needs a connector your company has not switched on says so on its card, and has no Add to company button until you switch the connector on.
Switch off for the company, in the Status panel of an app your company added, stops it for everybody: nobody can open it, in the browser or on a phone, from their next step. Press Switch off to confirm. Its settings and who may open it are kept. Switch on again, on its card or its page, brings it back as it was.
Install an app on a phone
A mobile app AccountHouse built for your company is installed from its QR code rather than from an app store. The QR code on its card opens the app's install page; the install code your administrator gives you unlocks the download. The QR code alone installs nothing, so it is safe to show to your team.
- On Apps, find the app's QR code under Install on your phone, or ask your administrator to show or send it to you.
- Scan it with the camera of the Android phone you want the app on. The install page opens.
- Type the Install code your administrator gave you and press Unlock and download.
- When the download finishes, open the file from the notification or your Downloads. If Android says it cannot install apps from this browser, tap Settings, turn on Allow from this source, and go back.
- Tap Install, open the app and sign in with your Accmerio username or email and password.
The download link works for ten minutes. After that, type the code again.
Let your team install an app
The Owner, Administrators and anyone given Configure company apps decide whether the team can install an app, and hold its install code.
- Open Apps. On the app's card, press Set up phone installs. (It appears once AccountHouse has uploaded an Android version; until then the card says No Android version yet.)
- Choose how long the code works — Until you replace it, 1 day, 7 days or 30 days — and press Set up.
- Show the QR code to your team, or open the app's page and use Save QR code or Copy link to send it. Give them the install code separately; only the people who manage apps can see it.
- New code makes a new install code. The old one stops working straight away; the QR code and link stay the same, and people who already installed the app are not affected.
- Switch off installs (on the app's page) stops the code working until you make a new one.
- The card counts the downloads, and the app's page lists the latest ones with the device and city. If wrong codes were typed since the code was made, the card says how many: if that was not your team, make a new code.
- When AccountHouse uploads a newer version, the same QR code and code install it; nothing needs sending again.
Change an app's settings
- Open the app from Apps and choose Configuration.
- Change what you need. A setting marked Default uses the app's own value until you change it, and Reset to default puts it back.
- Press Save settings.
Settings marked Set by AccountHouse are chosen for your company and cannot be changed here. A secret, such as a key for another service, shows only its last four characters: Replace it or Clear it.
Settings that choose accounts or payment methods
Some apps ask you to choose records from your books, such as the accounts a receipt may credit or the payment methods staff may use. What you choose shows as a list under the setting.
- Open the list under the setting, such as Add an account… or Add a payment method…, type to search, and choose a record. It is added to the list.
- Press the ✕ beside a record to remove it. A setting that takes one method has a single field instead: choose a method, or press its ✕ to clear it.
- Press Save settings.
- Accounts are grouped as Income, where the fee is the company's own income, and Liabilities, where the fee is held for someone else, such as a trainer, and paid over later, so it is not income.
- Only accounts that are active, are not control accounts and are not kept by the books themselves (such as VAT) are offered. Accounts that reduce income, such as Sales Returns and Allowances and Discounts Given, and long-term liabilities, such as Loans and Borrowings, are not offered either.
- Each payment method shows the account its money deposits to, or No deposit account. Deposit not usable means that account is closed or in another currency, so the app cannot use the method. Card matching only means it deposits to a gateway clearing account, so the app offers it only for card payments matched to Network International. Set the account under Settings › Payment methods.
- A setting that takes one method, such as Method selected first, says the same in a line under its field.
- A record that has since been archived or turned off, or that a receipt can no longer use, is marked No longer usable. The app ignores it; remove it.
Settings that name people
The list offers everybody in your company who can open that app; add somebody with Add somebody…, or press the ✕ beside a name to remove them.
- A name shown in grey has left the company or can no longer open the app. The setting ignores it; remove it.
- Where a setting has both a list of roles and a list of people, they add up: the roles let a group in, and the people let one more person in without changing their role.
- A list of people who may not do something always wins over both. That is how you take one thing away from one person without touching anybody else.
Phones signed in to an app
For a mobile app, Phones lists every phone somebody has signed in to the app on: the Person, the Phone, the App version, whether Notifications reach it, and when it was Last used. In the app only means the phone cannot show a notification with the app closed; the person still finds every alert in the app. The Owner, Administrators and anyone given Configure company apps see it on each mobile app that lists its phones.
- Open the app from Apps and choose Phones.
- Press Sign out beside a phone, then Sign out this phone. Cancel leaves it as it is.
- The app stops on that phone at once and the row says Signed out. The person signs in again to use it.
Decide who may open an app
An app is set either for everyone whose company role includes apps, or for assigned people only. AccountHouse chooses which for each app, including the ones offered to every company.
- Open the app from Apps and choose Access.
- Pick a Role in the app to give a person more, or less, to do inside the app.
- Press Remove access to keep one person out, or Give access on an app set to assigned people only.
Inside the app, the Role in the app decides what somebody can do. Their company role only needs Business apps, so you can give a front desk an app without anything that opens the dashboard. Give those roles only to people you trust with the books.
The Accmerio: Transport phone app
Accmerio: Transport is Transportation on a phone, for passenger work. A driver sees their own jobs, accepts them and fills in the job sheet your company designed under Transportation › Setup › Job sheets, step by step, with or without a signal. The office sees the day at a glance, what is waiting on them, the day's work, and the money. AccountHouse sets it up for a company that has Transportation; a company without Transportation is not offered it.
Who can open it. A driver whose sign-in is linked to a driver record needs nothing else: the Driver role opens this app though it has no Business apps. Everybody else needs Business apps in their company role, as for any app. What a person can do in the app is exactly what their Transport access allows here: the app has no roles of its own, so Access shows no Role in the app to pick. Remove access keeps one person out.
Its settings are under Configuration:
- Parts of the app — every part is on when your company is given the app. List under Parts switched off for your company what you do not want: for drivers, fuel, expenses, money taken from a customer, the vehicle check and reporting a problem outside a job sheet, their money page, opening a stop in a maps app, and sharing the phone's location during a trip; for everybody, Alerts; for the office, each of its pages.
- Alerts — list under Alerts switched off for your company the ones you do not want. A driver is told when a job is given to them, changed or called off, when the office sends their job sheet back, and when somebody at the office writes to them about a job (Drivers: a message from the office about a job). The office is told when a cost is waiting for approval, a driver reports a problem, a job sheet comes in, and a job has not started 15 minutes after its time. Each goes only to the people whose Transport access lets them act on it, and nobody is told about what they did themselves.
- Limits for one person — name the people who may not record fuel, expenses or a vehicle check outside a job sheet, may not record money taken from a customer, do not see their money page, or, in the office, do not see money or the digest. A limit only takes away: it never gives somebody more than their Transport access does.
- Look — the sign-in screen is Accmerio's. After sign-in the app wears your company's colours: pick a Main colour and a Second colour from the swatch, or type a colour code such as #F5C400. Show the company's logo in the app uses the logo on your document letterhead. Leave a colour empty for Accmerio's own.
- Languages — the app is in English, Arabic, Urdu, Hindi, Bengali and Malayalam. Choose the Language the app opens in and any Languages not offered. Each person can pick their own in the app. What your company typed, such as step names and instructions, stays as it was typed.
- Set by AccountHouse — parts AccountHouse has switched off for your company, and Days a driver's positions are kept. You can see them and cannot change them here.
