What it is for
An accounting agency or a freelance accountant on Accmerio can keep your company's books. Workspace › Accounting agency is where you choose one. Choosing an agency gives nobody access to your books: you still give the agency's people a seat under Users and Access, in the role you choose.
Asking an agency in
- Ask the agency for its join code. It looks like ABCD-2345.
- Enter it under Ask an agency in, add a message if you like, and press Ask the agency.
- It waits under Waiting for the agency until the agency accepts or declines. Withdraw takes it back.
An agency asked you
If an agency asked your email address, the request is listed under Agencies that asked you in every company you run. Open the company the agency should work for and press Accept for this company, or Decline. You are also told by email.
What the agency's people may do here
Under What the agency's people may do here, choose the most the agency may give its people: Accountant (the start), Standard, Auditor or Read only, and press Save. Lowering it moves anybody above it down to it. Stop it suspends every seat the agency gave; Allow lets it give access again, without bringing back the seats it gave before.
Each person the agency gives access is listed there and on Users and Access, marked via the agency's name, where you can remove them one by one. They sign in as themselves, they do not use your seats, and they cannot be given a company password or the company itself. Changing any of this needs the Owner or an Administrator and a code from the authenticator.
Ending it
Press End the engagement. You see whose access the agency's people lose, give a reason if you like, and confirm it is you (the Owner is not asked). Your company and its books stay exactly as they are. Earlier agencies are listed under Past agencies.
If the agency set your company up: whose contract
A company an agency set up runs on the agency's contract while the agency keeps its books: its term follows the agency's, renewals included, and ends when the agency's ends. If that happens, the books become read-only and then close; ask the agency, or AccountHouse support, to renew. A company that joined an agency keeps its own contract.
When the engagement ends, the company keeps the last terms it had until AccountHouse agrees a contract with it directly.
Reports the agency downloads
A report the agency's people download from your books — a statement, the VAT return, the corporate tax pack and the like — says Prepared by the agency, under your letterhead. Reports your own people download carry your letterhead alone.
