Switching to Accmerio

Switch from Zoho Books to Accmerio

Accmerio reads the CSV and Excel exports Zoho Books makes, the UAE edition's included: the chart of accounts, customers and suppliers, items, invoices, credit notes, bills, vendor credits, expenses, payments and manual journals. The result is checked against Zoho's own trial balance and ageing before anything posts.

What to export from Zoho Books

  1. Before you start

Sign in as a user whose role can export data. Export each module with More › Export as CSV or XLSX, keep Zoho's default export template, and leave the file password empty.

  2. Chart of accounts

Accountant › Chart of Accounts › More › Export Chart of Accounts.

  3. Customers, vendors and items

Sales › Customers, Purchases › Vendors and Items, each with More › Export.

  4. Sales and purchases

Invoices, Credit Notes and Payments Received under Sales; Bills, Vendor Credits, Expenses and Payments Made under Purchases.

  5. Manual journals

Accountant › Manual Journals › More › Export Journals.

  6. To prove the move

Reports › Trial Balance as at the day before your start date and at each year end, and AR and AP Aging Details at the start date, as CSV or XLSX.

  7. Long histories

A module export stops at 25,000 rows: export by date range, or use Settings › Data Management › Backup Data and upload the extracted files.

What stays behind

  • Contact persons and item opening stock are kept for reference, not imported.
  • Draft documents never reached Zoho's books: they go to the historical archive, not the ledger.
  • Columns Accmerio has no field for, such as custom fields, the sales person or e-invoice references, are kept with each record's source values.

UAE details: From Zoho Books' UAE edition, a contact's TRN becomes its tax number, and Zoho's tax names Standard Rate, Zero Rate, Exempt, Out of Scope and Reverse Charge are understood.

Zoho Books is a trademark of Zoho Corporation. Accmerio is not affiliated with Zoho Corporation; the name says which files Accmerio reads.

How the move is checked

  1. Upload what you exported

Accmerio recognises each file and runs a health check: what was found, partly found or missing, and whether it can be proved.

  2. Confirm the columns and the mapping

Check how each column is read and how each account, contact and tax code maps. A 0% VAT code always waits for you: zero-rated, exempt and out of scope are different boxes on the VAT return.

  3. Prove it in a sandbox

Every record is posted in a sandbox and the result is compared with your old system's trial balance and ageing, then rolled back. A difference shows both figures and the likely cause.

  4. Approve, then post

The Owner or an Administrator approves the migration, and only then is it posted into the books. What is not posted, such as drafts and voided documents, stays in a searchable historical archive.
