Switching to Accmerio

Move from spreadsheets to Accmerio

Accmerio reads any CSV, Excel, JSON or XML file: each column is matched by its title and contents, and every suggestion is shown to you to confirm. Accounts, customers, suppliers, invoices, bills, payments and journals can come across, checked against your own trial balance before anything posts.

What comes across

Read through column matching that you confirm

  • Chart of accounts
  • Customers
  • Suppliers
  • Items
  • Invoices
  • Bills
  • Payments received
  • Payments made
  • Journals and vouchers
  • Opening balances
  • Bank statements
  • Fixed assets

Files Accmerio reads: CSV, Excel (XLSX, XLS), JSON, XML.

What to export from Excel or CSV spreadsheets

  1. Keep a header row

Save each list as CSV or Excel with its column titles: account codes and names, customer and supplier details, invoice and bill lines.

  2. Prefer transactions

Export a journal or general ledger with one row per line where you can; a report of totals is used only to check the result.

  3. To prove the move

Prepare a trial balance as at the day before your start date and at each year end, so Accmerio can show the migrated balances match.

What stays behind

  • A report that prints totals instead of transactions is used for checking only, never posted.
  • A column you mark Not used is kept with the record but not read.

How the move is checked

  1. Upload what you exported

Accmerio recognises each file and runs a health check: what was found, partly found or missing, and whether it can be proved.

  2. Confirm the columns and the mapping

Check how each column is read and how each account, contact and tax code maps. A 0% VAT code always waits for you: zero-rated, exempt and out of scope are different boxes on the VAT return.

  3. Prove it in a sandbox

Every record is posted in a sandbox and the result is compared with your old system's trial balance and ageing, then rolled back. A difference shows both figures and the likely cause.

  4. Approve, then post

The Owner or an Administrator approves the migration, and only then is it posted into the books. What is not posted, such as drafts and voided documents, stays in a searchable historical archive.
