Switch from QuickBooks to Accmerio

Accmerio reads QuickBooks Online's Export data ZIP and its reports, and QuickBooks Desktop's IIF lists and report exports. The chart of accounts, the journal, the trial balance and the receivables and payables ageing come across from QuickBooks' own layouts, checked against your QuickBooks trial balance before anything posts.

What to export from QuickBooks

  1. QuickBooks Online

Settings › Tools › Export data, All dates, keeping the General Ledger, Journal, Trial Balance, Profit and Loss and Balance Sheet reports and the Customers and Suppliers lists, then Export to Excel. Upload the ZIP as it is.

  2. Chart of accounts (Online)

Reports › Account List › Export to Excel.

  3. QuickBooks Desktop lists

File › Utilities › Export › Lists to IIF Files: Chart of Accounts, Customer List, Vendor List, Item List and Class List.

  4. QuickBooks Desktop transactions

Reports › Accountant & Taxes › Journal (or General Ledger), Dates: All, exported to Excel or CSV.

  5. To prove the move

The Trial Balance as at the day before your start date and at each year end, and A/R and A/P Aging Detail at the start date, exported to Excel.

What stays behind

  • Estimates, purchase orders and other transactions that never posted are archived, not posted.
  • Employee lists and payroll items are not imported: payroll comes across separately, through Payroll Import.
  • You map QuickBooks' tax codes to UAE VAT treatments: how QuickBooks Online names UAE VAT in its exports has not been verified.

QuickBooks is a trademark of Intuit. Accmerio is not affiliated with Intuit; the name says which files Accmerio reads.

How the move is checked

  1. Upload what you exported

Accmerio recognises each file and runs a health check: what was found, partly found or missing, and whether it can be proved.

  2. Confirm the columns and the mapping

Check how each column is read and how each account, contact and tax code maps. A 0% VAT code always waits for you: zero-rated, exempt and out of scope are different boxes on the VAT return.

  3. Prove it in a sandbox

Every record is posted in a sandbox and the result is compared with your old system's trial balance and ageing, then rolled back. A difference shows both figures and the likely cause.

  4. Approve, then post

The Owner or an Administrator approves the migration, and only then is it posted into the books. What is not posted, such as drafts and voided documents, stays in a searchable historical archive.
