Tracking

Two tags for the books — Project and Branch, or whatever you rename them to — picked on invoices, bills, journals and split receipts and payments, and filtered on the Profit & Loss and the General Ledger.

What the tags are for

A tag says which project, branch, department or property an amount belongs to, without a separate account for each. Every company has two: Project and Branch to begin with. Rename either, or switch it off if you have no use for it.

A tag has values — the projects or branches themselves. Each value has a Name and a Code (made from the name if you leave it blank); no two values of one tag share either.

Set up the tags

  1. Open Workspace › Tracking.
  2. To rename a tag, change its Name and press Rename. Untick Offered on new entries to stop offering it; entries already tagged keep it.
  3. Under the tag, type a New project (or branch), and a Code (optional), and press Add.
  4. To change a value, press its pencil, edit the Code or Name and press Save. Switch off stops offering it on new entries. The bin deletes a value nothing carries; one already on entries is switched off instead, so the books keep naming it.

Tag invoices, bills, journals and split payments

  • On an invoice, bill, credit note or debit note, choose the Project and Branch beside the Reference. They apply to every line.
  • A line that belongs elsewhere picks its own at the foot of the line; As the document keeps the document's.
  • On a manual journal, each line picks its tags under its description.
  • Approving a document posts each line with its tags, and the customer or supplier line with the document's. The document's detail shows them under Tracking, and a line's own beneath its description.
  • On a split receipt or payment (Receipts & Payments › Split entry (compound)), the tags under the payment's details apply to every line, and a line picks its own in its Tags column; As the payment keeps the payment's. Opening the payment shows each line's tags.
  • Correcting a document or a split payment keeps a tag that has since been switched off; it cannot be put on anything new.

See a project's figures

On Profit & Loss and General Ledger, choose a Project or a Branch (or both) to see only the lines carrying it. The page says Only Project: …, and so do the PDF and Excel files. On the General Ledger the opening balance is that tag's too, so the statement reads as that project's own.
