What a session is
A register session is one drawer from open to close: the float counted in, the sales and refunds, cash paid in and out, and the cash counted at the end. A session is opened and closed at its till. This page is the record of each one.
Open a session to read its figures: sales, returns, VAT, discounts, takings by how they were paid (cash and card, and store credit, gift cards and online payments where there were any), and the difference at the count. The cash a drawer should hold is shown for an open session only to somebody who manages cash.
A session also counts what happened at its till that was not a sale, when there was any: the drawer opened without a sale, sales cleared before they were paid, with what they came to, and sales on hold thrown away.
Under The count, a session lists every count handed in at its close, with when and by whom, where the drawer was counted more than once: a count that did not match is kept, not thrown away. For an open session, how many counts have been refused so far is shown, and what was counted is shown to somebody who manages cash. Where sales taken offline reached Accmerio after the drawer was counted, the session says how many and how much cash they took: that cash was counted in the drawer before the sales arrived, so it explains that much of the difference, and the session says what is left of it.
On an edition with online orders, a store may also have sessions of its Online orders register: one for each day an order paid online was completed there. It has no drawer, so nothing is counted in or out and this page offers no cash movement or count on it. Each of its sales goes to the books as it is made, and the session closes by itself when the first order of a later day is completed.
At the tills
At the tills is the second view of this page. It lists those three things across every session, newest first, and narrows by store, kind and dates. A row opens the session it happened in.
| What is listed | How sure it is |
|---|---|
| Drawer opened without a sale | Recorded by Accmerio before the drawer opens, with the reason given and whether a manager approved it. |
| Sale cleared before it was paid | What the till reported, with how many lines were on the sale and what they came to. |
| Sale on hold thrown away | What the till reported, in the same way. |
What can be done here
| Button | What it does |
|---|---|
| Record cash movement | Cash paid in, paid out or taken to the safe, for an open session, with what it is for. |
| Count and close | Closes a session from the office with the cash counted. A count that does not match is answered as at a till: Count again, or Close with the difference and say what happened. |
| Accept the difference | For a closed session whose difference is waiting for a manager. Say what you found under What was found. Somebody who manages cash, and not on a drawer they opened or closed. |
| Send to the books | For a closed session, sends any of its sales that have not posted yet. |
Closing from here, the figures the drawer should hold are shown only to somebody who manages cash. Anybody else is told only that the count does not match, as at a till.
A difference waiting for a manager
A cashier who counts a drawer that does not match closes it with the difference and says what happened; the till is never kept open by it. Where the difference is over your company's limit, under Retail setup › General, it then waits for somebody who manages cash. Until the limit is changed, every difference a cashier closes with waits.
Difference at the top of the list narrows it to the sessions Waiting for a manager, which is where the dashboard's Needs attention line leads, or to those Accepted. Each row says which.
- Open the session and read The count: what was counted, how many times, what the cashier said, and any sales that arrived after the count.
- Look into it: recount the cash in the safe, check the till's sales.
- Press Accept the difference, say what you found under What was found, and press Accept the difference again.
Accepting records who accepted it, when, and what they found, beside the other approvals a manager gave. It posts nothing more: the difference went to the books, to Cash over and short, when the session closed. Nobody accepts a difference on a drawer they opened or closed; Accmerio refuses it, and says so.
What reaches the books
Closing a session posts its sales for each day as one entry: cash and card receipts clearing against sales, VAT output, and the cost of the goods against inventory. A second entry posts a difference at the count to Cash over and short, and cash paid in or out to Till paid-outs. The cash of a sale taken offline that arrived after the drawer was counted was in the count already, so it is posted to Cash over and short, where it settles the difference, and not to cash a second time. A refund owed is credited to Refunds owed to customers. Store credit and gift cards post to their own accounts in the same entry. Card takings sit in Card receipts clearing until the provider pays your bank: the payout is recorded and posted under Card settlements, on every edition.
