Receiving

Record goods that arrived from a supplier, with or without a purchase order, put them into stock at their cost, draft the supplier's bill from the receipt, and send goods back.

Receiving goods

  1. Press Receive goods, here or on a Registration terminal.
  2. Choose the store and, if you know it, the supplier. Suppliers are the same ones as in your books.
  3. Add each product with how many arrived and what it cost before VAT. Mark a line damaged to keep it apart from what is for sale, or free if it cost nothing.
  4. Record it. The goods are in stock at once.

A receipt recorded twice by a double press, or again after a lost connection, is recorded once.

Receiving against an order

On an edition with purchase orders, Receive goods has Against an order. Choose a sent order to the store: it names the supplier and fills in each line still to come, with the quantity outstanding. Change each line to what arrived, remove what did not come, and add anything that was not ordered.

A delivery is what arrived, not what was ordered. Less than was ordered leaves the order's line open for the next delivery. More is received and shown on the order as over. Something nobody ordered is received on a line of its own. A receipt received against an order names the order by its number, in the list and when it is opened, and reversing it takes what it brought off the order again.

Batches and serial numbers

A product tracked by batch asks for its Batch number and its Expiry date. One of the two is needed, unless the product has a shelf life, which then gives the date. A date that has already passed is taken only on a line marked damaged.

A product with serial numbers asks for its Serial numbers: one on each line of the box, typed or scanned, as many as the quantity. A number already in stock is refused.

The supplier's bill

Open a receipt and press Draft supplier bill, with the supplier's invoice number. A draft bill is made under Purchases › Bills for what was received, where it is approved like any other bill. A receipt needs a supplier to be billed, and is billed once.

Reversing a receipt

Reverse this receipt takes the whole receipt back out of stock at the cost it came in at, with a reason. It is refused once any of those goods have been sold on, and once a bill has been drafted from it.

Sending goods back

Every edition sends goods back to a supplier. Open a receipt that names its supplier and press Send goods back: the form opens with that supplier, the store and the delivery already chosen. Add each product with how many, choose the reason and press Send back and take out of stock. See Sending goods back in the Buying chapter for the rest of the form.

On an edition without purchase orders, this page also has Send goods back at the top, for goods that are not on a receipt here, and a second view, Sent back to suppliers, which lists every return. On the larger editions both are under Retail › Buying.

Open a return to deal with the supplier's credit note: Draft the supplier's credit note, with its number, makes a draft debit note under Purchases › Debit Notes; or, if your company enters its credit notes in Accounting itself, note its number under Note the supplier's credit note.

What reaches the books

Receiving debits Retail inventory and credits Goods received not invoiced. The supplier's bill, when approved, debits Goods received not invoiced and input VAT and credits what you owe the supplier. A reversal posts the opposite of the receipt. A delivery against a purchase order posts the same; the order itself posts nothing. Goods sent back debit Goods received not invoiced and credit Retail inventory, at what the supplier is to credit.
