Setting Procurement up

What to check before the first enquiry, in the order it has to happen, and who does each step.

Updated

What adding it does

  • It records nothing in your books, creates no accounts and makes no documents.
  • It creates one stock location, Main store, and makes it the default.
  • It points Where the money lands at the accounts the standard chart already has — 4000 Sales — Goods, 4010 Sales — Services, 5000 Cost of Goods Sold and 1200 Inventory — where it finds them, with the standard-rated VAT code for a VAT-registered company. Anything it cannot find is left empty for the accountant to choose.
  • It adds Document Generation if the company does not have it.

The order to do it in

  1. Add the connector. Marketplace › Connectors › Procurement › Add connector. The Owner or an Administrator only.
  2. Check where the money lands. Under Procurement setup › Where the money lands, somebody with the Procurement accounting permission confirms the accounts for sales of goods and services, for purchases, and for inventory, and the default VAT codes. Do it before the first invoice is prepared: an empty row refuses by name.
  3. Check the locations. Main store is there already. Under Procurement setup › Locations, Add a location for each other place stock is kept — a warehouse, a shop, a site, a vehicle, a quarantine area — and choose the default.
  4. Enter opening stock. On Stock, press Opening stock, choose the location, and add each item with How many and the Cost of each. Goods that are not counted as stock yet offer Count it as stock. It posts nothing.
  5. Check the items' prices. Stock lists every item with its Selling price, its Buying price and the Margin the two make. Actions › Prices… on a row changes them. Lines on an order are priced from what an item costs at that margin, so this is where margins start.
  6. Set reorder levels. For a low-stock warning, choose Actions › Reordering… on an item's row on Stock. The same dialog records the usual supplier, suggested first when a shortfall is bought.
  7. Set credit limits. Under Sales › Customers, a customer's Credit limit is what the credit check measures against. Blank means no limit.
  8. Choose the policies. Procurement setup has a tab for each: How you work, Pricing, Credit & approvals, Invoicing and Signing links.
  9. Give people their roles. Workspace › Users and Access, the same screen as for Accounting: choose Procurement above the list to see Procurement's people. The Owner or an Administrator uses Give access; a Procurement Administrator uses Give access to Procurement — Order Desk, Buyer, Storekeeper, Delivery and the rest.
  10. Register the first enquiry. Orders › New enquiry.
